    Receiving & Dispatch Process

  • Flowchart of the Receiving & Dispatch Process
  • Frequently Asked Questions

I purchased materials with my AMEX corporate card and were delivered directly to my laboratory. What should I send to the Receiving & Receipt Office? What about the property tag, if equipment?

The original invoice must be sent to the Accounting Office with a copy to the Receiving & Receipt Office (RDO) to acknowledge officially the receipt of such item, in order for payment to be processed.

If the item is defined as equipment which needs to be tagged by UPRM, the UPRM Property Office must be notified to arrange tagging. The physical location of the equipment must be indicated. This process is critical in order to abide to UPR Purchasing Regulations and Federal Regulations associated to property acquired with external funds.

Which delivery address should be included in the purchase order through AMEX, if I want it delivered to the R&D Center?

    R&D Center Physical Address:

Research and Development Center (R&DC) /

Centro de Investigación y Desarrollo (CID)

Road 108 km 1.0 Bo. Miradero

    Mayagüez, Puerto Rico 00680

    Postal Address:

Research and Development Center (R&DC) /

Centro de Investigación y Desarrollo (CID)

    PO Box 9000

    Mayagüez, Puerto Rico 00681

I won’t be available on the date delivery is scheduled. What should I do and who must I contact to plan accordingly?

You should contact the Receiving & Dispatch Office to notify of the expected delivery date and coordinate with them who to send the material / equipment to. If it is perishable material, instructions on delivery to an alternate person, or storage, must be made ahead of time. Otherwise, arrangements with the company must be made to assure delivery is made when a suitable person for its receipt and handling is available.

I want my student to receive an order which includes gases, flammable or radioactive materials? Is this possible?

No gases, flammable and radioactive materials will be delivered to students. License is required for their handling.

I want to purchase gas cylinders? Will the R&D Center Receiving Office handle its receipt?

No, gases are not received in the Receiving Department, since the R&DC doesn’t have the housing and transportation facilities required by the Office of Occupational Safety & Health to handle such material.
